Sending a lead to your CRM

Push a neighbor who replied into Follow Up Boss, assigned to the right person on your team, without leaving the Inbox.

When a neighbor writes back and you want them in your CRM, you do not have to copy their details across by hand. An open conversation has a Send to Follow Up Boss button in its header — one click, pick who on your team should own the lead, and they land in Follow Up Boss.

Before you start

The button only appears once Follow Up Boss is connected and switched on under Settings → Integrations, with an API key saved. If you cannot find it in a conversation, that is why — connect Follow Up Boss first and it appears on every conversation.

Send a lead

  1. Open the conversation in your Inbox.

  2. Select Send to Follow Up Boss in the conversation header. On a phone it appears as a compact icon in the same spot, next to This isn't the right person.

  3. A short Assign to menu opens, listing the active people on your Follow Up Boss account. The list is fetched from Follow Up Boss each time you open the menu, so somebody you added this morning is already there — and people you have deactivated or deleted are not.

  4. Select the person who should own the lead.

The lead arrives in Follow Up Boss as a General Inquiry, assigned to the person you picked and tagged Grassfed. It carries the neighbor's name, email address, phone number and property address, along with the text of the reply they sent you, so whoever picks it up has the whole context without coming back here.

After it has been sent

The button changes to Sent · name and stops being clickable, and the conversation's row in the Inbox list picks up a teal CRM badge — so you can see at a glance which replies are already in your CRM without opening them.

Note — A lead can only be sent once

That "already sent" state is per conversation and permanent. A double-click, an impatient second press, or the same conversation open in another browser tab cannot create a second record in Follow Up Boss.

If the same neighbor writes to you again later, that is a new conversation with its own button, and you can send it too. It lands on the same person in Follow Up Boss as a fresh inquiry rather than a duplicate contact.

If something goes wrong

What you see

What it means

"Follow Up Boss isn't connected yet. Add your API key under Settings → Integrations."

The integration is missing, paused, or has no key saved. Fix it on the Integrations page and try again.

"Follow Up Boss rejected your API key. Reconnect it under Settings → Integrations."

The key was changed or revoked in Follow Up Boss. Generate a fresh one there and reconnect. Nothing was sent.

"Couldn't reach Follow Up Boss. Please try again."

A temporary problem reaching Follow Up Boss. Use Try again in the menu.

No team members found

We reached Follow Up Boss but found no active people on the account. Check your team there, then reopen the menu.

Important — If a send fails but the button stays sent

When we cannot tell whether Follow Up Boss took the lead, we leave the conversation marked as sent rather than risk creating the same person twice in your CRM. If that happens, check Follow Up Boss directly — if the lead is not there, add it manually or contact support.
